Terms of Use

How this tool works, what it stores, and what we expect from you.

Version 2026-10-04. Applies to hub.woodagencylife.com and hub.warprecruit.com.

The short version. This is an internal activity tracker for agents affiliated with The Wood Agency and the team hubs it hosts. You log your own numbers. Your hub's owners can see everyone's in that hub: Ben and Andrea on The Wood Agency's hub, a team's own leader on a team hub. If your team sits under another in the agency structure — a Key Leader under an Agency Owner, an Agency Owner under the Agency Director — the leaders above you can see what your team's agents log, in the same detail your own leader can. It is how they coach on activity. Your team sees your weekly totals — dials, appointments and the APV you logged. Your daily rows, your notes, your lead spend and your individual policies stay between you and the admins. If your team's leader joins a network, agents on every team in that network can also see each other's top three and team totals — never APV (section 4a). Messages you send in the Hub are stored on our servers and are not end-to-end encrypted (section 4b). Do not enter client names, Social Security numbers, dates of birth, health information, or bank details, in a message or anywhere else.

1. Who this is for

The Hub is provided by The Wood Agency (Ben and Andrea Wood, Prescott Valley, AZ) for agents affiliated with the agency, including agents still in pre-licensing. Access is granted by the agency and may be withdrawn at any time — for example when an agent leaves.

The agency also hosts team hubs for leaders who are not part of it (for example at hub.warprecruit.com). On a team hub, that team's leader is the hub's owner, runs it, and can see what its agents log, as sections 4 and 5 describe. Ben and Andrea see only a team hub's totals, unless that team sits beneath them in the agency structure — see section 5.

The Hub is a personal productivity tool. It is not a system of record. It is not your carrier's system, not Symmetry's, not a substitute for OPT, Quility HQ, SureLC, or any compliance or commission system. Nothing here changes your contract or your compensation.

We do not sell your data, do not share it with third parties for marketing, and do not run advertising trackers on the Hub. Who else handles it, and how, is in the Privacy Policy.

3. Client information — read this part

Do not put your clients' personal information into the Hub. Insurance client data is regulated (including under the Gramm-Leach-Bliley Act and state insurance privacy rules), and this tool is not built to be a client record system.

Specifically, never enter a client's full name, Social Security number, date of birth, address, phone number, health or medical information, or bank or payment details — including in the free-text Notes field and in messages.

For policy tracking, record only what you need to recognize the case: the carrier, the annualized premium, the status, and the policy number. If you want a human label, use initials or a nickname. Client records belong in your carrier's system and your CRM, not here.

If you enter client information anyway, you are responsible for that disclosure. Tell Ben and we will delete it.

4. What your team can see

This changed on 2026-09-29. The team board now shows the APV each agent logged next to their activity. Before that date, your APV was visible only to you and the admins.

Other signed-in agents can see the agency top three — name, one number and the APV logged, for the week, the month and all time — plus whoever holds that week's Hustle Leader, Top Closer and Dial Champion titles. If people report to you, you also see each of their weekly totals, and the leader above you sees yours the same way.

The boards still rank on dials and activity score, never on APV, so a quiet month costs nobody their place.

If you are not in the top three, your rank and how far you are from the board are shown only to you.

What no other agent can see, in any view: your daily rows, your notes, your lead spend, your individual policy records, your goals, or anything in your profile.

One exception, and you switch it on yourself. When you start a Dial Session, your first name and the time you started become visible to other signed-in agents for the length of that session, so the team can see who is on the phones. It shows nothing else — not your dials, not your totals, not what you are working on. It disappears when the session ends, and it never appears if you simply open the app or tap the tally. If you never start a Dial Session, no other agent is ever shown that you are working.

Your hub's owners can see everything every agent in that hub logs — that is the point of the agency dashboard. On The Wood Agency's hub the owners are Ben and Andrea. On a team hub they are that team's own leader, and Ben and Andrea see only the team's totals: how many agents, their dials for the week, and whether the team is in a network. Your daily entries, notes, lead spend, income goals and profile are never shown to other agents in any case.

Teams beneath you in the agency structure. Teams are arranged the way the agency is: a Key Leader's team sits under an Agency Owner's, and theirs under the Agency Director's. The owners of a team above yours can see what your team's agents log in the same detail your own leader can — daily entries, notes, lead spend and individual policies — because coaching is a matter of activity and nobody can coach what they cannot see. This reaches downwards only: your leader's own numbers are not shown to you, and a team alongside yours sees nothing of yours at all.

One named exception. Ben Wood has additionally been granted sight of every team in The Rustman Group's structure, so he can support leaders across it, including teams that do not sit beneath his own. That grant is recorded on his account, applies to no one else, reaches no agency outside that structure, and can be withdrawn.

4a. Networks (a board shared between teams)

New on 2026-10-01, widened on 2026-10-03. Teams can share a board by joining a network. A team's leader (its owner) decides. They can start a network, which gets a short code, or join one by entering a code another team's leader gave them. A team hub also has a one-tap switch to join the network of the hub that sponsors it. A team is in at most one network at a time, it is in none until its own leader joins one, and its leader can leave whenever they like. Nobody else, including The Wood Agency's owners, can put a team into a network or take it out.

While a team is in a network, everyone on every team in that network can see:

APV and policy details never appear on the network board, and nothing else about you crosses a team line: not your daily rows, notes, lead spend, goals or profile. Your own rank, and how far you are from the top three, are shown only to you, as on your team board.

A network code lets a team's leader join, so a leader should share it only with leaders they trust. The team that started a network can replace its code, which stops the old one working for anyone who has not yet joined; teams already in stay in until their own leader leaves.

Your team's own board, phone tree and everything in section 4 work as before. If your team is not in a network, nobody outside it sees anything about you.

4b. Messages

New on 2026-10-04. The Hub has three kinds of message: your team chat, 1:1 messages, and announcements that a team's owners post.

Who can write to whom. You can message the people on your own team and anyone above or below you in the upline chain, wherever they are. Nobody else can message you, and you cannot start a conversation with anyone outside those two groups. That includes the owners of other hubs, and people who have signed up but not yet joined a team. This is enforced by our database, not only by the screens. A team's owners reach their own team through the team chat and announcements.

Who can read what.

Messages are not end-to-end encrypted. They travel to and from the Hub over an encrypted connection and are stored on our database provider's servers like the rest of your information. Do not put anything in a message that you would not want the people in that conversation, or the person who runs the Hub, to be able to read. In particular, keep your clients' personal information out of messages exactly as section 3 asks.

Deleting. You can delete a message you sent at any time. It is removed, not hidden. A team's owner can also remove any post from their team's chat or announcements. Nobody can delete a 1:1 message they did not send. If you delete your account, the messages you sent are deleted with it, including 1:1 messages, and so are the 1:1 messages sent to you, so the other person's copy of that conversation loses them too.

Alerts. If you have turned notifications on, a new message can send an alert to your phone showing the sender and the first words of the message, so anyone looking at your lock screen can read them. You can mute any conversation. Alerts are held to one every five minutes per conversation, and none are sent between 9pm and 8am by the time zone your device gave the Hub.

Keep it professional. Do not use messages to harass, threaten or spam anyone, or to share client information. We may remove messages that break these rules and, for serious or repeated problems, close the account. A message is limited to 1,000 characters, and to 20 a minute.

5. How it's kept secure

No system is perfectly secure, and we do not promise that it is. If you believe your account has been accessed by someone else, or you find a security problem, tell Ben immediately at ben@woodagencylife.com.

7. Keeping, exporting and deleting your data

Your data is kept while your account is active. You can ask for a copy of it, or ask for corrections, any time — email Ben.

You can delete your own account from inside the app: Profile, at the bottom, “Delete my account”. It happens immediately and it is permanent. It removes your login, your profile, every day of activity you logged, your policy records, your streak and badges, your notification settings, the messages you sent and the 1:1 messages sent to you, and the photo files you uploaded. Nothing of yours is kept back, and we cannot restore it afterwards — so export anything you want first.

The one exception is an account holding the last admin role, which the app refuses to delete — otherwise the agency would lock itself out. Hand the admin role to someone else first.

8. Accessibility

We want every agent to be able to use this, and we are working toward WCAG 2.2 Level AA. What we have checked, what we have not, and the known gaps are in the Accessibility Statement. If any part of the Hub is hard for you to use, tell Ben and we will fix it — and in the meantime we will take your numbers by text or phone so you are never shut out.
